Privacy & Cookie Policy

We keep this plain and honest. Here's what data we collect, why, and the choices you have — in line with UK GDPR and the Privacy and Electronic Communications Regulations (PECR).

Who we are

Macclesfield Printing Services is an online commercial printing business based in East Cheshire, UK. We are the data controller for the personal information collected through this website. If you have any questions about this policy, contact us athello@macclesfieldprintingservices.co.uk.

What we collect & why

  • Contact & enquiry details — the name, email, phone and message you give us via our contact / quote form, used only to reply to your enquiry and prepare a quote.
  • Quote & specification basket data — the products, quantities and job specifications you build up in a quote or basket, so we can price and produce exactly what you need.
  • Print specifications — details such as size, format, sides, finish, quantity, turnaround and delivery options for each item.
  • Paper & stock preferences — your chosen paper stock, weight (gsm), lamination and other material options.
  • Artwork uploads — the design files you send us (e.g. PDF, JPG, PNG), which we hold only to check, proof and print your job.
  • Communications — the emails, calls and messages you exchange with us, kept so we can support you and keep a record of what was agreed.
  • Technical data — basic information your browser sends (such as IP address and device type) that our hosting needs to serve the site securely.
  • Site usage data — if you consent to optional analytics cookies, anonymised information about how the site is used, so we can improve it.

Our lawful bases

Under UK GDPR we must have a lawful basis for using your data. We rely on:

  • Consent — for optional analytics cookies and any marketing emails. You can withdraw it at any time.
  • Performance of a contract — to prepare your quote, produce your order and deliver it.
  • Legitimate interests — to respond to enquiries, keep our site secure and run our business, balanced against your rights.
  • Legal obligation — to keep records we're required to hold, such as for tax and accounting.

We never sell your data.

Quote enquiries, baskets & artwork

When you build a quote or specification basket, or submit our contact / quote form, we use the details only to price, proof and produce your job. This includes theprint specifications, yourpaper & stock preferences, the quantities and finishing options in your basket, and anyartwork files you upload. Here's exactly what happens to that information:

  • Basket & specifications — the products, quantities, print specs and paper/stock choices you select are used to calculate your quote and set up your order accurately.
  • Artwork uploads — design files are held only to run our free artwork check, produce a proof and print your job. We don't reuse your artwork for anything else or share it beyond the partners needed to fulfil your order, and we remove it once it's no longer needed.
  • Sent to our inbox — your enquiry is emailed to our business inbox through a form-to-email relay (FormSubmit) so we can respond, usually the same working day.
  • Stored on your device — a copy of your submission is also saved locally in your own browser (local storage) as a backup, so nothing is lost if the email fails to send. It stays on your device and you can clear it any time via your browser.
  • Not used for marketing — we won't add you to any marketing list from a quote request without your separate consent.

Providing these details is voluntary, but without them we can't prepare a quote, check your artwork or reply to your enquiry.

Secure inquiry & artwork handling

We take the security of your enquiries, basket data and artwork seriously:

  • Encrypted in transit — the whole site, including quote forms and uploads, is served over an encrypted HTTPS connection.
  • Access on a need-to-know basis — only the team members handling your quote or job can see your details and artwork.
  • Trusted providers only — we share data solely with the vetted providers needed to deliver your order (see "Who we share it with" below).
  • Kept no longer than needed — artwork and enquiry data are removed once the job is complete and our record-keeping duties are met (see "How long we keep it").

Who we share it with

We don't sell or rent your data. We share it only with trusted providers who help us run the business, and only as far as needed:

  • Our form-to-email provider — to deliver your enquiry to our inbox.
  • Delivery partners — to ship your finished print order to you.
  • Professional advisers & authorities — where we're legally required to.

Some providers may process data outside the UK. Where they do, we make sure appropriate safeguards (such as UK adequacy regulations or standard contractual clauses) are in place.

Keeping your data safe

We use appropriate technical and organisational measures to protect your information, including encrypted (HTTPS) connections and limiting access to those who need it. No system is ever completely secure, but we take reasonable steps to guard against loss, misuse and unauthorised access.

How long we keep it

We keep personal data only as long as we need it:

  • Enquiries that don't become orders — kept for up to 12 months, then deleted.
  • Artwork uploads — kept only while your job is in progress and for a short period afterwards for reprints, then securely removed.
  • Order & invoice records — kept for up to 7 years to meet UK tax and accounting rules.
